We provide an I-9 Management tool, a secure and advance way of managing & tracking completion of new employee I-9 forms. Employers are required to authorized us before we proceed with “I-9 Authorized Agent Service”. We will then meet with your new employees face to face and upload all the identification & work eligibility documents with status to our I-9 Management tool. Employers will be able to access the documents for 3 months before they are purged from our system.

Enrollment Steps to assign us as your 1-9 Authorize Agent:
- Manual Way: If you agree to the price above then we request you to write a “Letter of Intent” addressing Prasanna Rawal and stating you are willing to get our service. It will allow us to prepare agreement documentation. We will send you a one page document which will state the high level agreement between you (Our Client) and us (Tax Return Services). You will be asked to sign and send it back to us including a formal “Appointment letter” as an authorized representative for your company (Our Client) which will authorize us to start working with your employees’ I-9 Forms.
- Advance & Easy Way (Online): You can escape this step if you want to escalate the enrollment. Simply Go to “Employers: Get Started with New I9” below and register.
Once authorized, things become much easier “As soon as you get new employee then simply login and submit the new form for new employee, we take care of rest”
What’s Next:
- You (Our Client) will then immediately will be granted access to the I-9 Tracking Tool. You will be able to track the progress and download the documents of your employee.
- You will receive a link to portal where you can see your outstanding bills and make the payment as they due. You can schedule auto-payment if it is convenient to you. It is ACH Secure Transaction with bank level encryption and security. Your employee can make the payment if you agree.
- Every time a new employee needs to complete the I-9 form from Texas, then you will simply add new employee form in I-9 Tracking Tool. We will meet your employee and complete form

– By law, your employee while filling out the I-9 Form must meet hiring company or authorized representative with the valid original documents. Here are some facts by ucis.gov regarding I-9 verification (Last Reviewed/Updated: 03/27/2014-click here for original publication):
– The Department of Homeland Security does not require the authorized representative to have specific agreements or other documentation for Form I-9 purposes. If an authorized representative fills out Form I-9 on your behalf, you are still liable for any violations in connection with the form or the verification process.
– When completing Form I-9, we as your authorized representative must physically examine each document presented to determine if it reasonably appears to be genuine and relates to the employee presenting it. Reviewing or examining documents via webcam is not permissible. Your employee must schedule a visit to meet us physically with original documents.
– We have right to deny representing you for I-9 if your employee for any reason discriminates, abuse or threaten the Accountancy Group Staffs. If your employee expresses intention to harm or kill. Intention to take hostile action by your employee will cause denial of representation for that employee.
– We, the notary public acting as an authorized representative of you, will not act as a notary for I-9 Forms. When acting as an authorized representative for I-9, the notary public should not provide a notary seal on Form I-9.
– For all other documents, other than I-9 and related documents, we are allowed to present a notary seal.
– As I-9 Authorized Representative , “Section 2. Employer or Authorized Representative Review and Verification” will be completed and signed. Section 2 must be completed within 3 business days of the employee’s first day of employment.
– For Section 2, we must physically examine one document from List A OR examine a combination of one document from List B and one document from List C as listed on the “Lists of Acceptable Documents” on the next page of the I-9 form.
– For each document we review, record the following information: document title, issuing authority, document number, and expiration date, if any.)
STANDARD PROCEDURE FOR REMOTE HIRES
Occasionally, a company may hire an employee who will be paid by the company yet will not physically work at the company physical location and, therefore, cannot present original documents to a company for inspection. Nonetheless, if the employee is employed within the United States, the Form I-9 must be completed.

2. Authorized Agent must be authorized to process each employee’s I-9 form.
3. Send the following documents to the Authorized Agent:
– Appointment Letter to authorize Authorized Agent to Start working on I-9 Form
– Authorize Authorized Agent to process each employee I-9 form
4. The employee completes section 1 of the Form I-9 only.
5. The employee presents the Form I-9 and acceptable documents to the Authorized Agent physically. Webcams and online tools are not allowed.
6. The Authorized Agent copies the original documents, fills out section 2 of the Form I-9 and provided signature to certify the employee verification
7. Returns the form i-9 and employee identification documents to employer.
– If authorized agent is in agreement with the company to send the I-9 to them via mail, then I-9 and identification documents are mailed to company
– Someone from company may be scheduled to pick-up the documents on regular basis
